Minutes of Concertation and Coordination Council Meeting No 161

On Wednesday, October 26, 2022, the CCC meeting No 161 was held, at 14h00, in “Abdelmadjid Allahoum ” auditorium, under the chairmanship of the Rector of the University, Pr. Ben Ouadah Hachemi, in the presence of:

The meeting was opened by the interim Rector of the University of M’sila, Prof. Hachemi Ben Ouadah, after welcoming all the audience. The meeting adopted the following agenda:

  • Security at the level of university, faculties and institutes
  • Pedagogical situation
  • Digitization
  • Digital Marketing
  • D-Space Status, statistics compared to other national universities, Status of managers of laboratories whose term of office is over
  • Status of pedagogical managers
  • Dialogue with social partners, meetings with students associations drawn up on reports.
  • Preparing for projects of Diploma-Startup.
  • Wifi in faculties and institutes.
  • Time to send PRFU files to the financial controller in the Prefecture (Wilaya).

1/-  University security:

The University board of concertation and coordination decided the need to coordinate between all the services to control the process more widely and accurately to ensure security in the university campus.

  • Deans of faculties and directors of institutes should intensify monitoring patrols on security agents, and send their needs of those agents to the Rector in order to strengthen the spaces guarding.
  • Renewal and updating the security plan according to the current necessity.
  • A coordination meeting shall be hold next week , under the chairmanship of the General Secretary of the university in the presence of the head of university security, public security agents, and heads of security in faculties and institutes in order to more control the security situation in university.

2/-  Pedagogical situation:

During this week, the vice-rector of pedagogy, the deans of faculties and the directors of institutes  confirmed the end of university enrollments and all the pedagogical files were resolved,  only outstanding cases being processed at the level of concerned interests.

Also, they announced the normal functioning of lectures and its progress rates during this week at the level of faculties and institutes.

 

During this session, many other points have been discussed such as:

  • Open the period of academic holidays 2022/2023; the files will be received at the level of faculties and institutes from October 25, 2022 till December 01, 2022.
  • Statistics of students status toward the national service.
  • Designate groups representatives at the level of faculties and institutes, the concerned lists should be sent to the vice-rector of pedagogy.
  • Pedagogical coordination meeting with students representatives and organizations are still in progress in the faculties and institutes. It should be drawn up on reports.
  • A pedagogical meeting shall be scheduled next week with the head of departments and the assistants in charge of pedagogy.
  • Students headcounts according to their category in faculties and institutes shall be sent to the vice-rector of pedagogy.
  • A work session shall be scheduled with the pedagogical managers, chaired by the rector and the coordinator of fields board during next weeks.
  • The manager of Progress platform, Tayeb Mazari, made a presentation of the subscription process on the platform according to each faculty and institute.

The process of students cards delivery is ongoing at the level of faculties and institutes.

03/- E-learning:

The head of the distance learning cell, Dr. Zemmit Abderrahim, presented a report on the e-learning process from 12 to 26 October, 2022; the number of users reached 27800, an average of 2600 users/day, with a number of 5320 downloaded files.

For the technical procedure of this week:

  • Subscribe 1st year students on Moodle platform.
  • All the technical enquiries are answered, estimated at 122 enquiries at the level of E-learning sub-cells in the faculties and institutes.
  • 87 E-publishing lectures certificates are issued according to the new QR Model.

04/- Digitization:

Many points have been discussed about the digital platforms during this week:

*Electronic signature system (Electronic parapheur): A presentation on administrative e-correspondence was made according to each service at the university; which reached 262 certified correspondence.

*Complaints and enquiries platform: 21 enquiries were received, 15 of which were answered and the rest are still being processed.

*E-stage Platform: It was closed now. the vice-deans of scientific research begin reviewing and assessing the application files on the platform by. The deficiencies on this platform will be addressed later.

*Platform of final diploma: 02 requests are registered this week, the total of which reached 122 requests, 84  of which are issued.

The rector gave instructions to purchase I7 computers in the future.

05/- Digital marketing:

In this regard, the manager of the Network Center, Lakhdari Abdallah, presented the statistics on the state of the external links of the university this week, according to each faculty and institute. As well as, the university situation among national and international rankings is presented by Dr. Boudia Issam.

At the end of the meeting, the following points have been discussed as follows:

  • Employment competition for administrative employees.
  • Professor Employment competition.
  • Status of managers of laboratories whose term of office is over,
  • Status of pedagogical managers whose term of office is over.
  • Grade promotion for both employees and professors.
  • Time to send PRFU files to the financial controller in the Prefecture (Wilaya).

The meeting was adjourned the same day at 17:30.
